Job Description

We are looking to hire an experienced administrative assistant! Experience working in a CPA firm is a MUST.

The Tax Administrative Assistant provides detailed, task-oriented, operational support to the Tax Department. This role ensures the department workflows run smoothly, and that the team focuses on its highest impact priorities.

Experience Requirements

  • Administrative support experience in a fast-paced professional services environment (CPA, legal, consulting preferred).
  • Project coordination skills with demonstrated ability to manage multiple workstreams, deadlines, and follow-ups.
  • Strong communication abilities including drafting emails, summarizing meetings, and preparing documents with high accuracy.
  • Advanced proficiency in tools like Microsoft Office, Google Workspace, AI Agents, scheduling platforms, task management software, and virtual communication tools.
  • Process-driven mindset ideally familiar with EOS or similar operating systems, with experience maintaining metrics, policies and procedures, and meeting cadences.

Primary Responsibilities

  • Workflow, Client Document Management, & Tax Return Processing

Setup projects in tax software, monitor project statuses, troubleshooting software, preparing project reports

Setup client portals, calls and correspondence with new clients, scanning documents and auto-flowing tax information into software, coordinate new client meetings

Responsible for preparing engagement package, sending, receiving signed documents and tracking new and/or lost clients

Draft invoices, delivering returns to clients, collections, and handling client billing inquiries

Department reporting, capacity analysis, working directly with Tax Partner, improving client relations, and coordinating client satisfaction efforts
